The Challenge

Process Workshop & Automation Mapping

Shadowed HR coordinators across 12 sessions to document the as-is onboarding process in detail. Identified 9 distinct tasks suitable for full automation and 4 suitable for attended bot assistance.

Integration Architecture

Mapped API and UI automation pathways across Workday, Active Directory, ServiceNow, and SAP HR. Designed a data handoff sequence ensuring each system received information in the correct order.

Bot Development

Built 6 unattended UiPath bots. Highlights include: an AD account provisioning bot (90-second runtime), a Microsoft 365 licence assignment bot, and a compliance acknowledgement tracker that monitors and chases outstanding e-signatures.

Exception Handling Design

Built a robust exception framework. When a bot encounters an error (e.g., a name format conflict in AD), it logs the issue, notifies the relevant HR coordinator via Teams, and pauses gracefully rather than failing silently.

Testing & Rollout

Ran 3-month pilot with 40 new hires before full deployment. Achieved 99.4% successful bot completion rate. Rolled out progressively, starting with IT provisioning bots then expanding to full onboarding suite.
